Privacy Policy

Overview

Talent Agent (“we,” “our,” or “the platform”) is an AI-native career platform. Candidates build a structured profile from their resume and other sources, turn it into a Talent Passport, and use AI tools - Career Intelligence reads, a Resume Builder, Cover Letters, and a private assistant - to navigate their job search. This Privacy Policy explains what data we collect, why we collect it, and how it is used.

As of June 2026, the candidate experience is live. The recruiter-side platform - marketplace matching, recruiter outreach, and the application pipeline - is on the waitlist and launches soon. This policy already describes how that recruiter-facing data flow will work when it goes live; sections marked “Coming soon” do not apply to today’s product but are included so you can review them in advance.

By using Talent Agent, you agree to the practices described in this policy. If you do not agree, please do not use the platform.

Data we collect

Account information

When you create an account, we collect your name, email address, and password. For candidates who complete onboarding, we also collect role preferences, experience level, and availability.

Candidate profile and Talent Passport data

You build a structured professional profile - work history, skills, education, career goals, preferences, and supporting evidence - that powers your Talent Passport. This data is provided voluntarily and can be updated or removed at any time.

Source documents

Resumes and other documents you upload, and content imported from sources you connect (LinkedIn, GitHub, etc.), are stored to populate and refresh your profile. GitHub-derived analysis is held in a separate, isolated module and never silently merges into your main skills list - you must explicitly opt in to copy any of it into your profile.

Sharing and visibility settings

When you create a private Talent Passport share link, we store the link configuration (which sections to include, what to mask, expiration, label) and an access log so you can see when each link was last used. Your visibility preferences (pause profile, hide from current employer, anonymous preview, require intro approval) are stored to govern how your profile is surfaced once recruiter-side discovery is live.

Recruiter and company data (Coming soon)

Recruiters will provide information about their organization and the roles they post, including job titles, requirements, compensation ranges, and location. Company profile information may be visible to candidates as part of job listings.

Feedback and product signals

When you use the “Was this helpful?” thumbs on an AI-generated block or send us a note from the Help Center, we store your rating, any comment, the page you were on, and your account ID so we can follow up. We use this to improve the product.

Usage and interaction data

We collect data on how users interact with the platform - including pages visited, features used, and actions taken - to improve the platform experience and to keep AI outputs grounded in real usage.

Communications

Messages sent through the platform (once recruiter messaging is live) are stored and may be reviewed for safety, support, and quality purposes. Your AI assistant chats are stored on your account and are visible only to you.

How we use your data

  • - Candidate experience: Your profile data powers your Talent Passport, profile-strength score, Career Intelligence reads, Resume Builder, Cover Letters, Saved Answers, and your private AI assistant - all scoped to your own account.
  • - Private sharing: When you share your Passport via a link, the configured subset of your profile is rendered to anyone who opens that link until you revoke it or it expires.
  • - Platform operation: Account data is used to authenticate users, manage access, and provide platform features appropriate to each role.
  • - Platform improvement: Aggregate and anonymized usage data, together with feedback you send us, is used to improve AI output quality, evaluate features, and prioritize new work.
  • - Communications: We may use your email address to send platform notifications, security messages, and product updates. You can opt out of non-essential communications at any time.
  • - Matching and evaluation (Coming soon): When the recruiter platform launches, profile data will be used to match candidates to roles and to generate evaluation assessments based on recruiter-defined workflows - subject to the visibility controls you've set.

AI processing and AI providers

Talent Agent uses third-party AI providers (currently OpenAI) to power core features - extracting a structured profile from your resume, generating Career Intelligence reads, drafting tailored resumes and cover letters, and powering your assistant. To do this, we send relevant data to the provider, including the text of uploaded resumes and your structured profile fields. We do not upload your original files (PDFs, DOCXs) to the provider; we extract their text within our own systems first.

Under our agreements with these providers, your data is not used to train AI models, is not sold, and is not used for any purpose other than processing your request for us. Providers may retain submitted data for a limited period (up to 30 days) for security and abuse monitoring, after which it is deleted. AI-generated outputs are advisory and decision-support tools, and do not by themselves determine hiring outcomes.

How data is shared

We do not sell your personal data to third parties.

Today (candidate-only): your profile is not shared with employers, with other candidates, or with anyone outside your account. The only outbound disclosures come from things you initiate - generating a Passport share link and sending it to a specific recipient, exporting a resume or cover letter, or using your assistant.

Coming soon (recruiter platform): when the recruiter side launches, your structured profile will be evaluated against published roles - subject to your visibility settings. Recruiters will see anonymized profile data and a fit score; your name and contact details will be shared only after both you and the recruiter have explicitly opted in. If you’ve enabled “Require intro approval”, even an explicit opt-in from the recruiter goes to you for approval before identity is revealed.

We may share data with service providers who help operate the platform - including cloud infrastructure (Google Cloud), AI providers (OpenAI), email delivery, and payment processing - under appropriate data processing agreements. These providers process data only to perform services for us and are contractually bound not to use it for their own purposes.

We may also disclose data when required by law, or to protect the rights, safety, and integrity of the platform and its users.

Talent Passport share links

When you generate a private Passport share link, the link is the only way in: it is not indexed by search engines (we set X-Robots-Tag: noindex), not surfaced anywhere public in the product, and pages served from it set Cache-Control: no-store to discourage caching. You decide which sections appear, whether to mask contact details and compensation, and when the link expires. You can revoke any link at any time; revocation takes effect immediately.

Data retention

We retain your data for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data at any time. Some data may be retained in aggregate or anonymized form after account deletion. Data sent to our AI providers for processing is subject to those providers’ limited retention windows (up to 30 days for abuse monitoring) and is not retained by them to train their models.

Your choices and rights

  • - You can update your profile and account information at any time from your account.
  • - You can adjust your visibility controls (pause profile, hide from current employer, anonymous preview, require intro approval) from Settings - Availability & visibility.
  • - You can revoke or expire any Talent Passport share link you've created from Settings - Sharing.
  • - You can opt out of non-essential email communications through your account settings.
  • - You can request access to the personal data we hold about you.
  • - You can request deletion of your account and associated data.

Security

We use industry-standard security measures to protect your data, including encryption in transit (HTTPS/TLS with HSTS enforced) and at rest (AES-256), access controls, and regular security reviews. Two-factor authentication (TOTP) is available from account settings. No system is completely secure, and we encourage users to use strong passwords and protect their account credentials.

Changes to this policy

We may update this Privacy Policy as the platform evolves. When we make material changes - including when the recruiter-side platform goes live - we will notify users via email or a prominent notice on the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
